Swyftflo Spend Intelligence

See every dollar. Stop every leak. Prove every saving.

Spend Intelligence brings every spend line into one governed view. Then it answers questions, explains what changed, forecasts what comes next and finds savings before anyone asks, so spend stops being a monthly report and becomes a live, accountable part of how the business is run.

Alongside your ERP. ERP reporting shows what was paid. Spend Intelligence adds what was quoted, negotiated, delivered and disputed before payment.

Your margins live in your spend data

Your spend isn't hidden. It's just scattered.

Every purchase order, invoice, contract and budget line holds an answer about where money goes and where it slips away. Those answers are spread across ERPs, spreadsheets and inboxes, and by the time a report lands, the moment to act has passed.

Spend Intelligence draws on data a ledger never holds: every quote and losing bid, each negotiation round and the saving it produced, execution delays by supplier, audited charges and rejected amounts, and freight spend from the TMS.

Answers take weeks

Every new question becomes a report request, and every report answers only the question it was built for.

Everyone has a different number

Teams export to Excel and rebuild the same KPI three different ways.

Leakage hides in plain sight

Off-contract buying, price creep and duplicate invoices surface months later, if ever.

Savings are never proven

Negotiated savings are claimed once and rarely traced to what was actually paid.

One agent, seven levels of intelligence

Ask anything. Get the answer, the reason and the next step.

The spend agent knows your suppliers, contracts, budgets and invoices. It goes from what happened, to why, to what comes next, to what to do about it. Pick a level to see the kind of question it answers.

Why did packaging spend rise 8% this quarter?
Most of the rise came from price, not volume: +6.1% price, +1.4% volume, +0.5% mix. Two suppliers billed above their contracted rates.

From dashboard to decision

Find the leak before it finds you.

Describe the dashboard. The agent builds it.

No tickets, no report backlog.

  • Agree a KPI in conversation and a live widget appears
  • Each widget carries a verdict: on track, worth watching, or needs action
  • Personal, team and company dashboards, with home pages for CPO, CFO and category managers
  • Every number shows its definition, filters, rows counted and data freshness

Trust

The AI never produces a number. Ever.

Language models are good at understanding questions and explaining results, and unreliable at arithmetic. So the AI interprets and explains, a governed engine calculates, and a validator rejects any answer containing a number that did not come from your data.

Access follows the role

Nobody sees beyond their permissions, and the agent never acts above the user it serves.

Your data stays yours

Each company is isolated at the data layer. Models are trained per company.

Recommends, never acts

Read-only by design. It drafts and advises; people decide.

No outside sources

Only your information and the files you choose to load.

Accuracy gate

Benchmark questions must pass before every release.

Nothing to reveal

The agent works through a governed model, never tables or code.

Your KPIs, measured your way

Start from examples. Define, version and approve your own.

Every company measures differently, so there is no fixed catalogue. KPIs are built from governed building blocks, with a company KPI library, a four-level category taxonomy, supplier hierarchies and multi-currency.

Spend visibility

Total spend by supplier, category and cost centre, tail spend, concentration.

Compliance

Under contract, off-contract, PO compliance, contract price leakage.

Savings and price

Negotiated savings, price variance, price trends, realised savings.

Budget control

Utilisation, variance, blocked requisitions, year-end position.

Sourcing

Cycle time, bids per event, award against lowest compliant bid.

Invoice and payment

First-time match, exceptions, cycle time, discount capture.

Teach the agent your industry

Skills extend the agent to any domain, without custom code.

Freight for a logistics buyer. Direct materials for a manufacturer. Medical consumables for a hospital group. A skill carries knowledge, data requirements, formulas, KPI templates, chart recipes, playbooks and tests, and anyone can build and share one.

Assigned by role

Defaults per role, with personal additions.

Always tested

Test questions run on save and after data loads.

Never guesses

Missing data is named, not estimated.

Built for everyone who touches spend

One governed source of truth, seen through each role's lens.

Teams without the AI subscription still get full dashboards on the same data, through a manual builder.

CFO and financeBudget position, validated savings, payment discipline and duplicate exposure.
Category managersPrice trends, leakage and what-if scenarios before every negotiation.

Questions we hear

Straight answers.

What data does Spend Intelligence use?

Spend from Swyftflo procurement, sourcing and invoice audit, plus ERP payables, ledger and budgets by integration, scheduled file or upload, and any reference files you choose to add.

Can we trust the numbers the AI gives us?

The AI never calculates. It interprets the question and explains the result, a governed engine produces every figure, and a validator rejects any answer containing a number that did not come from your data. Every number shows how it was produced.

Will the agent change anything in our systems?

No. It is read-only. It recommends, drafts documents and adds opportunities to the register, and people decide.

Do we need a data team to run it?

No. People build dashboards in conversation with the agent. A data steward approves the agent's category and supplier-matching suggestions.

Can teams use it without the AI subscription?

Yes. A manual builder gives full dashboards on the same governed data.
