Swyftflo Invoice Hub

Pay only for what was agreed and what actually happened.

Invoice Hub checks every invoice against six independent sources of truth before it is approved: the purchase order, the contract, the goods or service receipt, proof of work, confirmations and the invoice itself. Only real exceptions reach a reviewer, with the evidence attached.

Alongside your ERP. Approved invoices post to your ERP’s accounts payable. Invoice Hub adds the operational evidence accounts payable cannot see on its own.

The problem

Finance is asked to validate what it cannot see.

Over 80% of invoice data originates outside finance: contracts in procurement, delivery records in logistics, confirmations from suppliers and operations. Yet finance is expected to approve invoices without those operational events in view.

So errors are found too late, by people playing detective across disconnected systems, spreadsheets and email.

Duplicate invoices

The same charge submitted twice, or resubmitted with a new number.

Mismatched billing

Quantities, weights or units that don't match what was received.

Overcharges

Rates above the contract, and surcharges nobody agreed to.

Manual audits

Approvals, deliveries and contracts traced by hand, invoice by invoice.

6-way AI audit engine

A proven method, and the half of the picture it misses.

A 3-way match checks the purchase order, the receipt and the invoice. It misses contract and rate deviations, services billed but never confirmed, missing proof of work and freight overbilling. Run the same invoice both ways and see what changes.

What each source proves

Six layers of financial assurance.

Every charge can be traced back to an agreement, to operational execution or to documented activity. The three added sources are captured while the work happens, so finance checks against evidence instead of reconstructing it.

Purchase order

Quantities, unit prices, item codes, taxes and delivery schedules, checked automatically. Mismatches go to the right reviewer.

Contract

Negotiated pricing, validity, scope, tolerances and service conditions. Any deviation from agreed terms is flagged in seconds.

GRN / SRN

Received quantities, damages, shortages and accepted values. The end of 'short received, full invoiced'.

Proof of work

For services: billed hours, activities, deliverables and milestones against submitted evidence from the field.

Confirmations

Supplier acknowledgements, operational and dispatch confirmations. What was confirmed is what gets billed.

Invoice

A deep audit of the invoice itself: structure, values, tax accuracy, item mapping, duplicates and compliance.

Questions we hear

Straight answers.

What is a 6-way match?

A classic 3-way match compares the purchase order, the goods or service receipt and the invoice. Invoice Hub adds three more sources: the contract with its agreed rates and terms, proof of work from the field, and confirmations from the parties involved. An invoice is approved only when the six agree, within your tolerances.

Where do the extra three sources come from?

From the work itself. Contract terms come from the sourcing award in Source to Pay. Proof of work and confirmations are captured in Control Tower while the work happens, so finance validates against evidence instead of reconstructing it.

Will small differences hold up payment?

No. You set tolerance levels for price and quantity variances. Minor deviations inside your tolerance can be approved automatically, and only issues outside it are flagged for review.

Can it read invoices that arrive as PDFs or emails?

Yes. AI capture extracts invoice numbers, suppliers, dates, line items, taxes and totals from PDFs, scans, emails and images, and Invoice Hub can convert any format into a standardised PDF for storage and audit.

Does it post to our ERP?

Approved invoices post to your ERP's accounts payable. Invoice Hub adds the operational evidence that accounts payable cannot see on its own.
