Swyftflo Source to Pay

From requirement to award, with suppliers in the room.

Swyftflo Source to Pay runs the part of procurement that happens between companies: inviting suppliers, collecting and comparing bids, negotiating and awarding. Every party works in one governed record instead of inbox threads, and every award carries a complete, defensible audit trail.

About the names. Swyftflo calls this product Source to Pay, or S2P. It covers strategic sourcing and extends into procure to pay, from order to payment readiness, with the supplier connected throughout.

Alongside your ERP

Source-to-pay is where spend turns from blind to managed.

When procurement is fragmented, supplier decisions, pricing, approvals, contracts, delivery evidence and invoice checks end up in different silos. Pricing gaps go unnoticed and operations deal with the fallout.

S2P extends your ERP; it doesn't replace it. Requests can start in the ERP and come back as awards ready for PO creation. The ERP keeps the record. Swyftflo hosts the supplier conversation.

Stays in your ERP

  • Requisition approval and budget check
  • Purchase order, created from the award
  • Goods receipt posting
  • Accounts payable and payment

Runs in Swyftflo

  • RFx events, bids and evaluation
  • Negotiation rounds and reverse auctions
  • Award, contract and pricing agreements
  • Supplier onboarding and performance

Purchase requisitions

Structured requests for products, services and logistics, routed through approvals by category and department.

Strategic sourcing

RFQs, RFPs, RFIs, expressions of interest and tenders in one sourcing environment.

Structured evaluation

Bids side by side, evaluation committees, and supplier, technical and commercial scoring.

Negotiation

Conversational rounds, reverse auctions and compound bidding, inside the event.

Supplier management

Onboarding, profiles, compliance records and performance monitoring.

Contracts and invoices

A central contract repository, rate agreements, smart contracts, and invoices checked in context.

  • A buyer at a desk raising a purchase request on screen
A request raised in one place
  • A person at a laptop managing suppliers, with statuses such as pending and approved on screen
Suppliers onboarded and approved in one record
One procurement lifecycle

Connected from the first request to the final payment.

Every stage stays on the same record, so the requirement, the bids, the negotiation, the award and the invoice all point at each other. Pick a stage to see what it does, then look at the screen your team would use.

Requisitions

Structured requests, approved by the right people.

  • Requests for products, services, logistics and operational needs
  • Created in Swyftflo or imported from your ERP through the API
  • Multi-level approvals by category and department
  • Real-time status, escalations and dependencies
What you’re looking at

Every request, and where it is stuck.

Status, approvals and escalations sit on one list. Opening a request shows its approval chain and who is holding it up.

Five ways to go to market

Pick the event that fits the decision.

All five run in the same environment, for products, services and freight, so suppliers learn one way of responding and you keep one history.

A request for information builds sourcing intelligence before procurement begins: supplier qualifications, operational capabilities and what the market can offer.

For example: mapping which logistics providers can handle temperature-controlled freight on a new lane.

What you get

  • Supplier capability profiles
  • A qualified long-list
  • Market insight before you commit to a scope
Intelligent procurement

AI that does the hard work, and shows its reasons.

AI is built into each stage rather than added on. It drafts, suggests and summarises; your team decides.

01

Requirement generation

Structured requirements from sourcing context, past activity and operational needs.

02

Supplier recommendations

The most suitable suppliers by category, rating, pricing and committee history.

03

AI-assisted bid scoring

Scores that combine price, delivery, technical fit and supplier performance.

04

Contract summaries

Key obligations, missing terms and items that need review, pulled from the document.

  • Catalogue extraction from supplier files
  • Quantities, specifications and delivery schedules

Any service

  • Scope, methodology and commercial model in RFPs
  • Milestones and deliverables in the contract

What sets it apart

Suppliers work in the same record you do.

Most procurement tools are built for the buyer alone. Swyftflo puts the supplier inside the event, so quotes, revisions and confirmations arrive in a structure you can compare, not in an attachment you have to retype.

Suppliers

Every supplier is its own organisation

With its own users, history and performance record across every event it joins.

Off-platform

No account? It still lands in the record

Suppliers without an account can respond, and their quotes land in the same quotation model.

Your team

Workflows you configure yourselves

Any procurement, with workflows and custom wizards your teams create without code.

Downstream

The award becomes the contract

Agreed rates and terms carry forward. Invoice Hub audits each invoice against them.

Questions we hear

Straight answers.

Which sourcing events does it support?

RFIs and expressions of interest to prequalify the market, RFQs for competitive pricing, RFPs for solutions and services, and full tenders with structured evaluation and governance. All of them run in one environment, for products, services and freight.

Can purchase requests come from our ERP?

Yes. A purchase request can be created in Swyftflo or flow in from your ERP through the API. Swyftflo turns it into a structured sourcing workflow, and once an award is made it flows back to the ERP for PO creation. The ERP stays the system of record.

What if a supplier is not on Swyftflo?

Suppliers without an account can still respond, and their quotes land in the same quotation model as everyone else's, so you compare like with like.

How does negotiation work?

Inside the event. You can run conversational negotiation rounds with each supplier, reverse auctions and compound bidding, and every quote, revision and round stays on one auditable record instead of in inbox threads.

Where does AI help?

It drafts structured requirements from your sourcing context and history, suggests suitable suppliers by category and track record, assists with bid scoring, summarises contracts and their key obligations, and extracts catalogues.
