Productivity

Conversations, files and knowledge that live beside the work.

Odoo's productivity apps keep the things around the work attached to the work: the chat about an order, the contract signed for a hire, the call logged on a customer, the sign-off on a payment, the scale that weighs a parcel. Discuss, Documents, Knowledge, VoIP, IoT and Approvals tie each of those to the record it belongs to.

Odoo AI sits in the Productivity family on Odoo's own site. We give it a page of its own, linked below.

What it does

Context, kept where the work is.

Work scatters into chat threads, shared drives, wikis and phone logs, and the link back to the customer or the order is lost. Odoo's productivity apps are built so each of those stays attached to its record.

01One inbox
Messages, mentions, activities, approvals and notifications arrive in a single inbox, so nothing hides in a tool nobody checks.
02Conversations that become work
Convert a message into an activity or a record such as a lead, and follow any record to be told about changes and discussions.
03Files that find their home
Emails, scans and files are dispatched, digitised and filed by workspace and tag, with access rights and share links that expire.
04How things are done, written once
A knowledge library can be reused in customer messages, helpdesk replies and project task descriptions.
05Calls on the record
Calls start from CRM, Helpdesk or Contacts, are logged automatically, and can carry a recording, a transcript and a one-line summary.
06Machines in the process
An IoT Box connects scales, printers, cameras and scanners to the database, and requests that need a yes or a no go through Approvals.

Chat that is tied to your business records

Channels, direct messages and one inbox.

  • Create channels, send direct messages or share company-wide announcements.
  • Follow any record to be notified about changes, discussions and progress.
  • Convert messages into activities, or create records such as leads, and link conversations to work across apps.
  • One inbox collects messages, mentions, activities, approvals and notifications.
  • Roles and permissions for channel administrators, moderators and contributors; presence status shows who is available.
  • Odoo's page says AI can record and transcribe meetings, find information and summarise conversations. WhatsApp and the email gateway keep outside conversations in sync.
What you’re looking at

The thread belongs to the order

A discussion about a quote sits on the quote. Anyone who opens it later sees what was said and decided.

A worked example

A supplier bill that needs a sign-off.

One bill followed through the apps, from what Odoo's pages say each one does. It is an illustration, not a promise of any particular set-up.

  1. Bill arrivesIt is filed in the right workspace from an email.
  2. Data capturedAI reads the supplier and lines so they are checked, not typed.
  3. Approval askedA request goes to the people who must approve the payment.
  4. Approver notifiedIt lands in their inbox beside their other work.
  5. PostedThe approved bill is posted to the books.

Illustrative. A real project decides who approves what and which steps are automatic.

AI

Where AI appears around the work.

Odoo's pages and documentation describe these uses. We describe no more.

01Meetings
Discuss says AI can record and transcribe meetings from the sidebar and summarise them, and find information across conversations.
02Bills
Documents describes an AI Bill feature that captures data from PDFs or images to encode vendor bills.
03Calls
VoIP says Odoo's AI stores the recording, a transcript and a one-line summary on the record after a call.
04Knowledge
Odoo describes Knowledge as AI-powered without detailing the features, so we say no more.

Odoo 20's release notes say AI features now need credits, bought through in-app purchases.

Questions

Straight answers.

Is Discuss a replacement for our chat tool?

It can be. Discuss offers channels, direct messages, announcements, presence and a mobile browser view, and its distinctive point is that conversations attach to the records they are about. Whether it suits your team is a question of habit as much as features.

Does AI read our documents?

Odoo's Documents page describes an AI Bill feature that captures data from PDFs and images. Odoo's documentation lists the digitisation service among those paid with prepaid credits. Check Odoo's data and privacy terms before using it on sensitive files.

Does VoIP need a separate phone provider?

Odoo's VoIP page describes buying phone numbers and assigning them to team members inside Odoo, and names no carriers. Confirm availability for your country with Odoo.

What can the IoT Box connect?

Odoo's page lists scales, receipt and label printers, cameras, barcode scanners, cash drawers, displays and payment terminals, and quality tools such as digital calipers and micrometers.

Who sees what in Knowledge?

Odoo says you control who can view and manage content, and can optionally share a page publicly.

What are the default Approvals types?

Odoo's documentation lists nine presets, including Business Trip, Borrow Items, Contract Approval, Payment Application, Car Rental Application, Job Referral Award, Procurement, Create RFQ's and General Approval.
